1. Overview

This page brings together the policies that govern how Lokosoft (“Company”, “we”, “us”, or “our”) collects and handles data, uses cookies, manages payments and refunds, and expects the Services to be used. It should be read alongside our Terms & Conditions. “Services” means our websites, applications, products, and consulting engagements.

2. Information We Collect

We collect information in the following ways:

  • Information you provide— name, email, phone number, company details, and project information submitted through contact forms, proposals, or during an engagement.
  • Automatically collected information— IP address, browser type, device information, pages visited, and referral source, gathered via cookies and similar technologies.
  • Information from third parties— data shared by analytics, payment, or scheduling providers we use to operate the Services.

3. How We Use Information

  • To deliver, maintain, and improve the Services;
  • To respond to inquiries and provide project or client support;
  • To send administrative updates, invoices, and, where permitted, marketing communications;
  • To detect, prevent, and address fraud, abuse, or security issues;
  • To comply with legal obligations and enforce our agreements.

4. Sharing & Disclosure

We do not sell personal information. We may share it with:

  • Service providers who process data on our behalf (hosting, analytics, payment processing, email delivery), under confidentiality obligations;
  • Professional advisors (legal, accounting) where necessary;
  • Authorities, where required by law, regulation, or valid legal process;
  • A successor entity in connection with a merger, acquisition, or asset sale.

5. Cookie Policy

We use cookies and similar technologies (local storage, pixels) to operate the site, remember preferences, and understand usage. Cookies fall into these categories:

  • Essential— required for core site functionality (navigation, security). These cannot be disabled.
  • Analytics— help us understand how visitors use the site so we can improve it.
  • Preference— remember choices such as theme or region.

Most browsers let you refuse or delete cookies through their settings. Disabling cookies may affect site functionality. We do not use cookies for third-party advertising.

6. Data Retention

We retain personal information for as long as necessary to provide the Services, meet legal, accounting, or reporting obligations, and resolve disputes. Client engagement records are typically retained for the duration of the relationship plus 7 years for tax and contractual purposes, after which data is securely deleted or anonymized.

7. Data Security

We apply reasonable administrative, technical, and physical safeguards to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights & Choices

Depending on your location, you may have the right to:

  • Access, correct, or delete the personal information we hold about you;
  • Object to or restrict certain processing;
  • Request a portable copy of your data;
  • Withdraw consent for marketing communications at any time.

To exercise any of these rights, contact us using the details in Section 12.

9. Payments & Refund Policy

  • Fees and payment schedules are set out in the applicable proposal, SOW, or invoice.
  • Deposits and fees for work already performed are non-refundable once work has commenced, except as expressly agreed in writing.
  • If Lokosoft is unable to deliver a paid milestone, a pro-rated refund for the undelivered portion will be issued at our discretion, unless the SOW states otherwise.
  • Refund requests should be sent to the billing contact within 14 days of the invoice date.
